Terms and Conditions

What to expect when using our website, booking a service or submitting an inquiry.

A clear agreement before paid work

These terms explain our general service arrangements. Your booking confirmation, accepted written quote or signed professional retainer sets out the specific work, price and applicable conditions. Mandatory legal and professional obligations take priority.

1. About our services

Notary On the Go coordinates access to authorized notarial and commissioning providers and related administrative document services. Each provider must act within their appointment, licence and professional authority.

We are not a government office, embassy, consulate or law firm. The identity and role of the professional or service provider handling your engagement will be made clear in the relevant booking or written engagement documents.

2. Inquiries, bookings and professional relationships

Submitting a form, requesting a quote or using a template does not itself confirm acceptance of a matter, create a lawyer–client or paralegal–client relationship, or protect a deadline. Do not rely on a pending inquiry to meet a court or other time limit.

Where legal services are offered through an authorized FLSP or another licensed professional, acceptance requires conflict and scope clearance and the appropriate written retainer. That professional’s duties, confidentiality obligations and retainer govern the legal engagement.

3. Fees and payment

Standard notarial appointments start at $35 plus applicable taxes for the first notarial act and $15 plus applicable taxes for each additional act in the same appointment, subject to the service being eligible for standard pricing. One notarial act generally means one required notary or commissioner signature and seal; the page count alone does not determine the fee.

Specialized documents, mobile travel, document coordination, process serving and professional legal services may be quoted separately. Before you authorize paid work, we will identify the scope, applicable taxes and any government, translation, consular, courier or other third-party costs. A published “from” price is a starting point, not a final quote for every file.

The payment arrangements confirmed for your booking apply. Additional work requires your agreement to the revised scope and charges.

4. Preparing for an appointment

  • Provide accurate contact details and explain the receiving organization’s requirements before the appointment.
  • Have the identification requested by the provider and any original documents needed for the service. Do not upload identification into a general inquiry form.
  • For a document requiring a witnessed signature or oath, wait for the provider’s instructions before signing. Certified-copy requests may instead require inspection of the original.
  • Ensure that every required signer can attend, understand what they are signing and act voluntarily. Tell us in advance if language, accessibility or another accommodation is needed.
  • The provider may decline or pause work where identity, authority, capacity, voluntariness, legality or document requirements cannot be satisfactorily established.

5. Online commissioning

Online appointments are used only for services that can lawfully be performed remotely and are suitable for the document and recipient. You may need live audio and video, suitable technology, acceptable identification and an agreed signing method.

References to “online notary” describe our online appointment option; they do not mean every notarial service can be performed remotely. Some originals, certified copies, documents and recipients require an in-person process. Confirm the recipient’s requirements and disclose them before booking.

6. Document coordination and process serving

Apostille, authentication, translation coordination and marriage-abroad services are limited to the work in your approved scope. Government authorities and recipients set their own requirements and processing times; acceptance, a visa, a wedding date or a government outcome cannot be guaranteed.

Process serving is subject to the applicable court or tribunal rules, document type, location and confirmed instructions. A request is not accepted until we confirm scope and availability. We do not guarantee locating a person, successful service, a completion date or a court outcome.

7. Templates and website information

Our pages, guides and free templates provide general information, not individualized legal advice. Check that a template fits your circumstances and current jurisdictional requirements. Any assisted drafting option also requires your review and, where appropriate, advice from an authorized professional.

You may download and adapt templates for your own lawful personal or business use. Do not resell our materials, misrepresent authorship or reproduce our branding without permission. Respect any separately stated licence for a resource.

8. Privacy and communications

We do not sell or rent your personal information. Where you have consented or applicable law otherwise permits, you may receive promotional materials from Notary On the Go and identified affiliates. Agreeing to this policy or requesting a service does not itself provide marketing consent. You can opt out of promotional communications at any time using the unsubscribe option in the message or by contacting info@notaryotg.ca. We process unsubscribe requests within 10 business days, without charge. Essential communications about an active request or legal obligations may still be sent. We do not share your information with affiliates for their own marketing without an appropriate lawful basis and any required consent.

We use inquiry and booking details to respond, coordinate the requested service and meet applicable obligations, as explained in our Privacy Policy. Personal information is not treated as business contact information simply because it is submitted online.

Operational messages about your request are separate from marketing subscriptions. Using our services or agreeing to these terms does not by itself enrol you in promotional emails. Any marketing consent must be requested separately where required.

Please use only the requested submission method and avoid sending unnecessary confidential information. A public inquiry form is not a substitute for the secure intake or document-transfer process arranged for an accepted matter.

9. Cancellations, concerns and refunds

Our Cancellations, Refunds & Service Concerns Policy explains how to change a booking or raise a service issue. Specific terms disclosed before booking and professional-retainer rules also apply, subject to applicable law.

Neither these terms nor a website disclaimer removes our responsibility for services we agree to provide, a provider’s professional obligations, or your non-waivable legal rights.

10. Lawful use and external services

Do not submit false statements, impersonate another person, misuse personal information, upload malicious files or attempt unauthorized access. We may refuse unlawful or unsafe requests.

Our site may link to or use external booking, payment and communication services. Their relevant terms and privacy notices apply to their own services. Tell us promptly about a technical problem so we can discuss an alternative where available.

11. Governing law and updates

These general terms are governed by Ontario law and the applicable federal laws of Canada, without excluding any mandatory law or consumer right that applies to your transaction. No mandatory arbitration or waiver of court access is imposed by this page.

We may update these terms from time to time and publish a revised date. Your right to opt out of promotional communications at any time continues after any update. Updates apply prospectively. They do not unilaterally change an accepted quote, existing booking or signed retainer. If part of these terms is unenforceable, the remaining lawful terms continue to apply.
